As the first point of contact for guests and a key partner to leaders and staff, the Office Services Coordinator plays an essential role in creating a warm, organized, and service‑focused environment at our Central Office. This role blends hospitality, administrative excellence, and internal communications support to ensure our campus operates smoothly and reflects Room & Board’s culture of respect, collaboration, and authenticity. Location:
Schedule: Monday through Friday.
This role is expected to be in‑office Monday through Thursday, with the potential for remote work on Fridays as business needs allow after an acclimation period.
Please note: We are not considering remote candidates at this time.
Serve as the primary point of contact for guests, greeting and assisting visitors with professionalism, warmth, and adherence to security protocols.
Manage front desk communication, including incoming calls, emails, and inquiries, ensuring timely and accurate routing of information.
Oversee daily office operations such as mail handling, office equipment maintenance, and ordering/organizing supplies, snacks, and beverages.
Reconcile monthly HR purchasing and credit card charges and support additional administrative tasks defined by the Finance team.
Provide administrative and project support to senior leaders and key partners, including dedicated support for the Advisory Board (calendar coordination, meeting preparation, printing, and project-based tasks).
Assist with planning and executing Central Office meetings, celebrations, and events, including coordinating meals, logistics, setup, and cleanup.
Support internal communications by posting SharePoint content, managing recognition programs, distributing anniversary letters, and coordinating staff engagement tickets/memberships.
Maintain a clean, organized, and welcoming lobby, front desk, and supply areas while serving as a reliable resource for Central Campus staff.
Provide occasional customer support through SAP after training.
Demonstrated alignment with our Staff Member Attributes: Inclusive, Authentic, Work Ethic, Collaborative, and Curious.
3–5 years of executive administrative, customer service, hospitality, or related professional experience.
A strong commitment to service and hospitality, with the ability to communicate proactively and professionally.
Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks, deadlines, and confidential information.
High proficiency with Microsoft Office Suite, including Outlook, SharePoint, Word, Excel, PowerPoint, and Teams.
Minnesota Notary Public (current commission or willingness to obtain).
First Responder training is ideal but not required.
Ability to provide proof of identity and legal work authorization upon hire.
